App vs API: what's the difference?

The WhatsApp Business app is the free app on your phone. It gives you a business profile, a catalogue, quick replies and simple away messages, but it's built for one person replying by hand.

The WhatsApp Business Platform (the "API") is for businesses that need WhatsApp to work with their software: sending order updates automatically, letting several team members answer from one number, connecting chats to a CRM or adding an AI assistant. There's no app to open — messages flow through your systems.

Signs you've outgrown the app

You're probably ready for the API if:

  • ✦You copy-paste the same replies dozens of times a day
  • ✦Order, booking or delivery updates are sent by hand
  • ✦More than one person needs to reply from the business number
  • ✦Enquiries get lost between WhatsApp, calls and Instagram

What you need to get started

The setup is mostly paperwork, done once:

  • ✦A Meta Business account, verified with your business details
  • ✦A phone number for the API (often a new one dedicated to it)
  • ✦A display name that matches your business
  • ✦Approved message templates for anything you send first
  • ✦Customers' opt-in before sending marketing messages

The 24-hour rule and templates

When a customer messages you, a 24-hour window opens in which you can reply freely — any text, images or documents. Outside that window, you can only start a conversation with a pre-approved template, such as an order confirmation, an appointment reminder or an offer.

Templates are reviewed by Meta, usually quickly. Writing them clearly and keeping marketing separate from useful updates helps them get approved and keeps customers from blocking you.

How Meta charges

Meta charges per template message, with different rates for marketing, utility (like order updates) and authentication (like OTPs), and rates that depend on the customer's country. Replies inside the 24-hour customer-service window don't cost anything.

For most small businesses the monthly bill is modest, and it's usually far less than the time it replaces. Check Meta's current rate card before you plan a big campaign, as prices change from time to time.

What to automate first

Start with the messages that repeat most and are easiest to get right:

Is the WhatsApp Business API free?+

Setting it up is free with Meta's Cloud API, but Meta charges for business-initiated template messages, with rates by message category and country. Replies to a customer within 24 hours of their message are free.

Can I keep using my current WhatsApp number?+

Usually a number is dedicated to the API. Meta now also lets some businesses connect their existing WhatsApp Business app number, so check your options before changing numbers.

Do I need a developer?+

For simple auto-replies, the free Business app may be enough. For order updates, CRM sync, AI replies or multiple team members, you'll need the API and someone to connect it to your systems.
